Policies

Our terms and conditions, privacy policy and safeguarding policy can be found below. By proceeding with tuition, acceptance of all of the policies is presumed. Questions or concerns with any part of any of the policies must be raised before tuition begins.

Terms And Conditions

Obligations
The tutor will:
• Use their academic expertise to devise a personalised tuition programme for the student, taking into account any information that they are made aware of by the student and/or their parent/guardian(s);
• Assess the student's progress regularly throughout their tuition, and discuss progress with the student and their parent/guardian(s) as appropriate.

The tutor expects the student to:
• Complete all tasks, including all homework, in a timely manner and to the best of their ability.

As the parent/guardian(s), the tutor would appreciate your:
• Regular discussion with the student about the progress they feel they are making in sessions;
• Notifying the tutor immediately of any emerging issues that have a possibility of affecting the sessions in any way, so that the personalised tuition programme can be adjusted accordingly.

Payment
Payment is accepted by cash, BACS (bank transfer) or cheque. The tutor kindly asks parent/guardian(s) to ensure that payment is made in a timely manner and always before the next session. If payment is regularly delayed or not received, the tutor reserves the right to withdraw their services without notice.

Cancellations/Termination
The tutor kindly asks that as much notice as possible is given for any cancellations. Payment is kindly requested for any sessions that are cancelled with less than 48 hours' notice. Although every effort will be made by the tutor to avoid cancellations, if they are required to cancel any session(s) for any reason, as much notice as possible will be given to the parent/guardian(s). Payment will never be requested for any session(s) cancelled by the tutor. 

Both the tutor and the parent/guardian(s) reserve the right to terminate the tuition at any time should it no longer be considered beneficial to the student. No notice is required to terminate tuition. It is kindly requested that any outstanding payments are made as soon as possible following termination.

Limitation Of Liability
While the tutor will endeavour to ensure that the student makes satisfactory progress, this cannot be guaranteed and the tutor cannot be held accountable for the academic performance of the student. To the maximum extent permitted by law, the tutor accepts no liability for any direct or indirect loss or damage, foreseeable or otherwise, arising from the use of the tutor's services, or any errors or omissions in the content of the tutor's learning materials.

Privacy Policy

Purpose And Scope
The purpose of this privacy policy is to:
• Explain why we collect your personal data and what data we collect;
• Explain how we ensure the personal data we hold on you and/or your child is safe;
• Explain how to contact us if you wish to have the personal data we hold on you and/or your child removed;
• Confirm your privacy rights and how the law protects your personal data.

This policy applies to everyone working at H. Arrowsmith Tuition. It will be reviewed and updated on a regular basis, and earlier if there is a change in safeguarding protocols.

Data Collection
We routinely collect relevant personal data from the parent/guardian(s) and students with which we work. This enables us to manage our relationship with you as an individual (or with your organisation or business, if applicable) so that we can offer you the best service possible. Personal data collected may include, but is not limited to:
• Full name(s);
• Address(es);
• Telephone number(s);
• E-mail address(es);
• Academic level(s)/grade(s).

Your personal data may also help us, as a tuition business, to study how our clients and/or website users utilise our products and/or services to improve those products and/or services. 

Data Safety
All personal data that we collect is securely stored electronically and/or physically. For electronic data, password protection is used to ensure safe storage. For physical data, this is always present only with a tutor and physically locked away when not in use.

Data Removal
If you are currently a client of ours, we will legitimately communicate with you for as long as required in order to fulfil our commitment(s). If, at any time, you wish to request a copy of, or make any amendment to, the personal data that we hold on you, please contact us via the Contact Us page on our website (www.harrowsmithtuition.com). 

We routinely retain personal data from past clients as part of our business records and in case a past client wishes to work with us again. If you are a past client of ours and wish to request a copy of, or make any amendment to, the personal data that we hold on you, please contact us via the Contact Us page on our website (www.harrowsmithtuition.com). 

Your Privacy Rights
This policy has been updated in response to the General Data Protection Regulations (GDPR) May 2018. The GDPR requires companies to describe how we protect personal data and how we use it.   

We have taken this opportunity to review our practices and make improvements where necessary so that all clients who use our products and/or services can feel confident that their personal data are safe with H. Arrowsmith Tuition.

Safeguarding Policy

Purpose And Scope
The purpose of this safeguarding policy is to:
• Define what safeguarding is;
• Explain how we protect the students that receive tuition through H. Arrowsmith Tuition from harm;
• Explain how we respond to any concerns and/or allegations relating to the welfare of a student for whom we provide tuition;
• Share useful contact details for enquiring or raising concerns about safeguarding.

This policy applies to everyone working at H. Arrowsmith Tuition. It will be reviewed and updated on a regular basis, and earlier if there is a change in safeguarding protocols.

Definition
Safeguarding means:
• Protecting children from abuse and maltreatment;
• Preventing harm to children's health or development;
• Ensuring children grow up with the provision of safe and effective care;
• Taking action to enable all children to have the best outcomes.

Responsibilities
We recognise that we have a responsibility for the safety and wellbeing of our students. This responsibility includes:
• Ensuring each of our tutors has an up-to-date Disclosure And Barring Service (DBS) Check (formerly Criminal Record Bureau (CRB) Check);
• Ensuring our tutors undertake appropriate safeguarding training;
• Keeping up-to-date with any new information about safeguarding and child protection and updating this policy accordingly to include any changes;
• Reporting safeguarding concerns correctly to the relevant bodies, following the Local Safeguarding Children Board (LSCB) procedures (see below).

Reporting Safeguarding Concerns
If a student tells one of our tutors that they, or another child, are being abused, the tutor will:
• Say that they have heard what the student is saying and that they take their allegations seriously;
• Encourage the student to talk, without prompting them or asking them leading questions.
• Not interrupt when a student is recalling significant events and will not make a student repeat their account;
• Reassure the student that they can share anything that is worrying them, but that the tutor cannot promise not to tell anybody because some things have to be passed on in order to keep the student safe;
• Explain what actions they must take, in a way that is appropriate to the age and understanding of the student;
• Record what they have been told, as soon as they can, using exact words where possible;
• Make a note of the date, time, place and people who were present during the disclosure.

The tutor will then contact the Local Safeguarding Children Board (LSCB) for the relevant Local Authority. The Local Safeguarding Children Boards (LSCBs) for the address at which H. Arrowsmith Tuition is registered are the Nottingham City Safeguarding Children Partnership (https://www.nottinghamcity.gov.uk/ncscp) and Nottinghamshire Safeguarding Children Partnership (https://nscp.nottinghamshire.gov.uk).

In the event of a safeguarding concern for online tuition, the tutor will notify the Local Authority Safeguarding Lead for the appropriate Local Authority, if known. If not, they will notify the aforementioned Nottingham/Nottinghamshire LSCBs. If they are concerned that the child is in immediate danger, they will notify the police.

If a parent/guardian has a safeguarding concern about one of our tutors, this can be reported similarly to one of the aforementioned LSCBs.
